How to Include Attachments When Emailing Invoices?
This section explains the steps to include attachments when sending invoices via email.
First, log in to the system.
Click on the Finance option.
The system will navigate you to the Finance module.
The system will display multiple options. Click on ‘Invoices’ to proceed.
It will take you to the Invoices Listing page.
Click on the Create button.
It will take you to the Create Invoice page.
Add valid information on this page.
Then click the Save button.
It will take you to the Invoice Detail page.
By default, the user will land on the Line Items section inside the invoice.
Add the relevant line items, along with the associated information such as Service Date and Time, Product, Description, and Quantity.
When done, click the Save button.
It will save the invoice.
Now, click the Attachments tab.
It will navigate to the attachment section. You can upload any attachments relevant to the invoice in this section. The attachment image data files, as well as documents and PDFs.
Click the Add Attachment button.
A drawer menu will open from the right side.
Click on the “Click here to select“ option.
It will open the window to select the file.
Select the file to upload, then click on the Upload button.
It uploads the CSV file in the attachment section.
Now let’s send the invoice to the contact. Click on the hamburger icon.
It will show several options.
Click the Send Invoice option.
A modal titled Select Attachments will appear. This section displays all attachments linked to the invoice (see how the attachment I uploaded in the attachment section previously is shown here).
The interesting part here is that we can also upload more than one attachment on the go.
Click on the Choose File button.
It will open a window where you can select a photo or document.
Then click on Upload Attachment.
It will upload the file into the modal (this attachment will also be added in the invoice→ attachments tab in the background).
Now let’s select the attached files that we want to be emailed along with the invoice. If you want to send all the files, click on the Select All Files option to select them all.
After that, click on the Continue button.
It will send the invoice to the client.
After opening the sent email, check whether the attachments are present or not. The attachments are added as links in the email. The user can easily download the files using these links.
What is Mass Action?
Mass Action allows you to send multiple invoices at once directly from the invoice listing page. For each selected invoice, a separate modal appears, enabling you to choose individual attachments as needed.
Here’s how to perform Mass Action on invoices:
Step 1: Navigate to the invoice listing page. Select the invoices you want to send to the relevant contacts.
Step 2: Click on the dropdown menu.
Step 3: Choose the “Send Invoice” option.
Step 4: A confirmation modal titled “PLEASE CONFIRM!” will appear with two options: Yes and No.
Step 5: Click Yes to proceed.
Step 6: Next, you’ll see another modal titled “Attach Documents,” also with Yes and No options.
Step 7: Click Yes if you want to add attachments to the invoices.
Note: If you select No, the invoices will be sent without any attachments.
Step 8: The system will now display a modal for the first invoice (e.g., Invoice #22796). All available attachments for this invoice will be shown.
Step 9: Select the attachments you want to include in the email.
Step 10: Then click Next.
Step 11: You will now see a similar modal for the next invoice (e.g., Invoice #22795).
Again, choose the relevant attachments and click Continue.
Step 12: Once completed, the invoices will be sent to the respective clients or contacts via email. You can verify delivery and attachments by opening the sent emails.
Step 13: After opening the sent emails folder, verify that the selected attachments have been emailed.
