How to Use Shift Assignment Status in Shift Import?

Previously, when creating a shift using the import template, we could assign Talent directly by entering their email address in the “Committed Talents” column.
Note: The import template is a sample spreadsheet provided by the system, which demonstrates the correct format and required fields for uploading shifts using a file.
Now, a new column called “Shift Assignment Status” has been added. This lets you set the status of the Talent in the shift – for example, you can select “Talent Committed” instead of assigning them directly.
To add Talent to a shift, enter their email address in the “Talent” column and set the appropriate status in the “Shift Assignment Status” column.
Set Shift Assignment Status in Shift Import
1. Download the Shift Template
- Go to the Shifts Import page and download the shift template.
2. Fill the Template
- You will now see a new column called Shift Assignments Status in the downloaded template file.
- Add the Talent’s email in the Talent column.
- In the Shift Assignment Status column, type the status you want to assign (e.g., Talent Invited or Talent Committed).
3. Upload the Template
- Once the file is filled, upload it to the Shifts Import page.
4. Preview the Data
- After uploading, you will see a preview screen, which allows you to review your entries before they are imported. Here, you can also see the Assignment Status column and the values you entered.
5. Shift is Created
- Once the shift is successfully created and the talent is added, their status (e.g., Talent Invited) will be displayed as you provided in the template.
Example:
Let’s say you want to create a shift and set the talent’s status to Talent Invited:
- Download the template.
- Add the talent’s email to the Talent column.
- Add Talent Invited in the Assignment Status column.
- Upload the file.
- When the shift is created, the system will display the talent’s status as ‘Talent Invited’ in the shift details.
Best Practices for Shift Assignment Import
- Do not leave the “Shift Assignment Status” column blank. If left empty, the talent will be linked to the shift but will not have an assigned shift status, which may cause confusion or require manual updates later.
- Always use a valid assignment status that exist in the system as otherwise the import will throw an error.
- Ensure the “Talent” column is not empty if you’re assigning talent to a shift. This is required to link both the talent and their assignment status through the import.
- Use a comma (,) to separate multiple email addresses in the “Talent” column if you’re assigning more than one talent to a shift.
- Do not enter multiple assignment statuses in a single cell of the “Shift Assignment Status” column. Each shift-talent row should have only one valid assignment status. Entering more than one will result in an error.
- Verify that all email addresses entered are already registered in the system. Unregistered emails will prevent proper assignment.
- When linking multiple shifts, assign the same talent to each linked shift using their registered email.
- Use the same shift assignment status across all linked shifts for a given talent (e.g., Talent Committed or Talent Invited). Inconsistent statuses across linked shifts will cause an error.
