What Are Notifications to Tenant in OT Tracker?

This document explains the notifications sent to tenants whenever a talent goes into overtime.

  • These notifications cover all scenarios, whether it’s weekly, monthly, holiday, or consecutive overtime.
  • The talent will always receive a notification when they exceed their regular working hours.
  • Tenants will receive notifications only if the corresponding toggle is switched ON in the system settings.
  • If the toggle is OFF, tenants will not receive any notifications, even if a talent goes into overtime.

To manage notification settings, navigate to the OT Tracker section in the system settings.

Work > System Settings > Overtime tracker > OT Tracking.

Key Points to Consider When Checking Notifications:

  1. One Notification per Talent per Shift: Each talent will receive a single notification for each shift they are assigned to.
  2. New Notifications for Overtime Shifts: If the same talent is assigned to another shift that results in overtime, a new notification will be generated for that different shift.
  3. No Duplicate Notifications for the Same Shift: A talent will not receive multiple notifications for the same shift repeatedly.
  4. Notifications Sent to All Tenants: Every tenant within the agency will receive the same set of notifications available in the system.
  5. Read Status Is Tenant-Specific: If one tenant reads a notification, it will be marked as “read” only for that tenant. The notification remains “unread” for all other tenants until they view it.
  6. Handling Duplicate Notifications: If a notification for a particular talent and shift has already been triggered and you want to create it again, the existing notification must first be deleted from the notification panel.
  7. Talent Shift relation in Notification: Only one notification per talent per shift is allowed in the system at any time.

Example Scenario

Let’s look at an example to better understand how this module works.

Scenario 1: Let’s switch the toggle ON and create a shift in California.

California State Limits:

  • Daily limit: 7 hours
  • Weekly limit: 40 hours.

Now, create a shift in California with a duration of 8 hours.

Next, assign a talent to this shift and commit the talent.

Let’s now observe what happens in this scenario.

Shift in California with a duration of 8 hours.

Assign talent to the same shift.

Select “Move Talent” from the drop-down menu.

Now commit the talent to this shift.

This will generate a notification for tenants as talent goes into overtime.

Now, we will assign the same talent to another shift. If the talent works overtime during this shift, a new notification will be generated.

Bartender Shift: Duration – 8 hours

This duration exceeds the daily working time limit.

When the talent is committed to this shift, a daily overtime notification will be triggered for that shift.

Now, we’ll assign the talent to this shift by selecting “Move Talent” and then choosing the “Talent Committed” option.

This action will trigger a pop-up notifying that the talent is going into overtime. It will also generate another notification for the same talent, but this time for a different shift.

Now, we will switch OFF the notification toggle and assign the talent to a shift where they go into overtime. This time, no notification will appear in the notification center.

Now, assign the same talent to the Architect shift, which has a duration of 8 hours and exceeds California’s daily time limit.

A pop-up will appear indicating that the talent is going into daily overtime. However, no notification will appear because the “Send notification when talent booking goes into overtime” setting is turned OFF.
