Creating Custom Fields

Summary

Custom fields allow system administrators to add personalized data fields to any record, enhancing business processes. After enabling custom fields in system settings, users can create fields in different modules, choosing from various input types like text, dropdowns, or checkboxes. Additional settings control visibility, requirement status, and workflow integration. Once saved, these fields appear in records, making data entry and searching more efficient.

This gives you the opportunity to create additional fields to any record and have those fields be drop down checkbox, multiple choice, straight answer, whatever it is that you need to streamline the processes that you’re using to run your business. A system administrator will click the upper right icon and go to system settings. The first thing they’ll do is under a system, go to configuration settings and select custom fields and then enable custom fields and make sure you save that. Once you’ve enabled custom fields, then you can go to any module that you have access to and there’ll be a custom field section. You can click that Custom fields option, and then you’ll see the different types of records within that module. So for example, we’ll go into contacts, and then you can create a custom field. And when you create a custom field, you give it a name.

There are variety types of answers that you can have. So if you wanted to have the field be text field or a phone number or email address and so forth, you can select that. If you select something like dropdown, then it’s going to let you select from the available list of dropdowns that you’ve created under the dropdown section within that module. Then you have all these toggles to decide where that field can be used. So it could be required, it could be hidden, read only. Again, showing in the filters, create workflows, have it be available for widget importing, exporting. So a lot of information that you can build to make this searchable field and this new custom field very valuable for your company. Once you’ve got all of those set, hit save, and then that custom field will then show up on a record for you to provide information into it.
