How Talent Check-in / Check-out from App?
These improvements give agencies more control over when Talent can check out and how early or late checkouts are handled.
Agencies can configure:
- How early Talent can check out before the scheduled shift ends.
- Whether Talent can check out earlier in an emergency.
- How long after the scheduled shift ends Talent can check out normally.
- What happens when Talent checks out after the allowed late checkout window.
- How a shift is completed.
- How Talent’s working hours are calculated.
Important: The checkout time recorded for a shift and the time considered used to calculate worked hours differ. The recorded check-in/check-out times follow the checkout rules, while working hours in the app depend on the How to pay talent bills option selected in the shift form.
Shift Settings
Follow these steps to configure the checkout settings:
- Open System Settings.
- Select Work from the side menu.
- Click Shifts.
- Open Shift Settings.
You will find the following settings:

| Setting | What it controls | Default |
| Early Checkout Grace Period | How soon before the scheduled end Talent can check out normally | 30 minutes |
| Allow Emergency Early Checkout | Whether Talent can check out earlier than the permitted time in an emergency | Off |
| Maximum Late Checkout Window | How long after the scheduled end Talent can check out normally | 4 hours |
| Late Checkout Behavior | What happens when Talent checks out after the allowed late window | Close at Current Time |
Early Checkout Grace Period
What does it mean?
This setting allows Talent to check out shortly before the scheduled shift end.
For example, if a shift ends at 5:30 AM and the grace period is 30 minutes, Talent can normally check out from 5:00 AM onward.
If Talent tries to check out before 5:00 AM, the checkout will be blocked unless Allow Emergency Early Checkout is turned on.
Example
Scheduled shift: 12:00 AM – 5:30 AM
Grace period: 30 minutes
| Talent tries to check out | Result |
| 4:30 AM | Checkout blocked |
| 4:59 AM | Checkout blocked |
| 5:00 AM | Normal checkout allowed |
| 5:15 AM | Normal checkout allowed |
| 5:45 AM | Normal checkout allowed, subject to late checkout rules |
When checkout is blocked, the app tells Talent when checkout will become available.

Allow Emergency Early Checkout
What does it mean?
This setting allows Talent to check out before the grace period begins when they need to leave early because of an emergency.
When enabled:
- Talent can check out before the normally permitted time.
- The actual checkout time is recorded.
- The shift assignment status changes to Early Checkout.
- Talent must provide a reason for leaving early.
- The reason is saved in the Notes section on the agency portal.
Example
Scheduled shift: 12:00 AM – 5:30 AM
Grace period: 30 minutes
Emergency early checkout: On
If Talent checks out at 3:00 AM:
- The app allows checkout.
- Talent enters a reason for leaving early.
- The actual checkout time, 3:00 AM, is recorded.
- The assignment status becomes Early Checkout.
- The reason is available in the portal’s Notes section.
What Talent sees in the app
- Talent initiates checkout and confirms the action.

- The app asks Talent to enter a reason for leaving early.

- Talent enters the reason and taps Confirm.
- A success screen appears. After tapping Done, the assignment status is updated to Early Checkout.

- The reason will be visible in the Notes Section on the portal.

When this setting is turned off

Talent cannot check out before the grace period begins. The app blocks checkout and displays the earliest permitted checkout time.

Maximum Late Checkout Window
What does it mean?
This setting determines how long after the scheduled shift end Talent can check out normally. If Talent checks out after this window expires, the selected Late Checkout Behavior applies.
The window is calculated from the scheduled shift end, not from the time Talent actually checks out.
Example
Scheduled shift: 12:00 AM – 5:30 AM
Maximum late checkout window: 1 hour
The normal checkout window ends at 6:30 AM.
| Talent checks out at | Result |
| 5:30 AM | Normal checkout |
| 6:00 AM | Normal checkout |
| 6:30 AM | Normal checkout |
| 6:31 AM | Late Checkout Behavior applies |
| 7:00 AM | Late Checkout Behavior applies |

The selected Late Checkout Behavior only applies after the allowed window expires.
Late Checkout Behavior
What does it mean?
This setting determines what happens when Talent checks out after the Maximum Late Checkout Window has expired.
There are three options.
Option 1: Close at Current Time (Default)
Talent can check out, and the actual checkout time is recorded.
Example: The shift ends at 3:00 AM, and the allowed late checkout window ends at 3:30 AM. If Talent checks out at 4:10 AM, the checkout is recorded at 4:10 AM.

Option 2: Close at Scheduled Time
The system closes the shift using the scheduled end time, with any permitted overtime included.
Example: The shift ends at 4:10 AM. If Talent checks out at 5:10 AM after the allowed window, the recorded time is capped at the scheduled end time, plus any overtime allowed for the shift.
Time beyond this limit is not included in the recorded checkout time.

Option 3: Block and Require Manual Review
Talent cannot complete checkout through the normal app flow. The agency must review the checkout and decide whether to approve or reject it.
Example: If Talent tries to check out at 5: AM after the allowed window has expired, the app blocks checkout and explains that agency review is required.

The shift is not automatically closed while the request awaits a decision.
Quick comparison
| Setting | What happens? |
| Close at Current Time | Checkout is allowed, and the actual checkout time is recorded. |
| Close at Scheduled Time | The recorded checkout time is capped at the scheduled end time, plus permitted overtime. |
| Block and Require Manual Review | Checkout is blocked until the agency reviews the request. |
How Talent’s Worked Hours are Calculated
The How to pay talent bills field is available in the shift form. It has three options that determine how paid hours are calculated.
This setting is important because the time used for worked hours differs from the actual check-in/check-out times shown in the app.
The three options are explained below.
Option 1: Shift Duration
Talent is paid strictly according to the scheduled shift duration.
- The scheduled shift time is used to calculate paid hours.
- The hours shown under You worked reflect the scheduled shift duration, even if Talent checks out earlier or later.
- Overtime does not apply with this option.
Example: The shift is scheduled from 6:00 AM to 2:00 PM. Talent checks out at 3:00 PM or 4:00 PM. The hours shown under You worked remain based on the scheduled 8-hour shift.

Option 2: Talent Check-in/Checkout (Excluding Breaks)
Talent is paid according to the recorded check-in and checkout times, minus break time.
- The system uses the checkout time determined by the checkout rules.
- Break time is deducted from the paid hours.
- If Talent checks out within the allowed late checkout window, the checkout is handled as a normal checkout.
- If Talent checks out after the allowed window, the selected Late Checkout Behavior determines the recorded checkout time or whether agency review is required.
Example: Talent checks in at 6:00 AM and checks out at 2:00 PM. If the recorded working period is 8 hours and Talent takes a 30-minute break, the paid working time is 7 hours and 30 minutes.

Option 3: Talent Check-in/Checkout (Including Breaks)
This option follows the same checkout rules as the previous option, but break time within the scheduled shift is included in paid hours.
- The system uses the recorded check-in and checkout times determined by the checkout rules.
- Break time within the scheduled shift is included in paid hours.
- Early and late checkout rules still apply.
Example: Talent checks in at 9:00 AM and checks out at 5:00 PM, with a 30-minute break during the scheduled shift. The full 8-hour period is counted toward paid hours, including the break.

| Payment option | How paid hours are calculated | Breaks included? | Overtime |
| Shift Duration | Scheduled shift duration | Based on scheduled duration; no separate deduction | Not applicable |
| Check-in/Checkout (Excluding Breaks) | Recorded check-in to checkout time, minus breaks | No | Depends on the applicable shift and checkout rules |
| Check-in/Checkout (Including Breaks) | Recorded check-in to checkout time, including eligible breaks within the scheduled shift | Yes, within the scheduled shift | Depends on the applicable shift and checkout rules |
Quick comparison Remember:
Late Checkout Behavior determines the checkout time recorded or whether a manual review is required. The ‘How to pay talent bills’ setting determines how the worked hours are calculated.
Action Icons and Shift Completion in the App
What Has Changed?
The Job Complete icon has been removed from the app. Talent can now complete a shift by tapping the Checkout icon, eliminating the need for an extra step.
The icons displayed on a shift depend on the scheduled start time, whether Talent has checked in, break activity, and whether required photos and Recaps have been submitted.
Shift Without Required Photos or Recaps
When a shift does not require photos or Recaps, the process is straightforward.
- Before the scheduled start time: No action icons will be displayed.

- When the scheduled start time is reached: The Check-in icon will appear, allowing Talent to check in.

- After check-in: The Break Start and Checkout icons will appear.

- After tapping Break Start: The Break End icon will appear, replacing the Break Start and Checkout icons.

- After tapping Break End: The Break Start and Checkout icons will appear again.

- After tapping Checkout: The shift will be marked as completed, and a success screen will appear.

- After tapping Done: The success screen will close. The shift will display a Completed badge, and all action icons will disappear.

Talent can still view the completed shift’s summary from the Shifts listing screen.
Shift With Required Photos and Recaps
When a shift requires photos and Recaps, Talent must submit them to complete the shift. The app allows Talent to check out even if these requirements have not yet been fulfilled, but the shift will not be marked as completed until all required items are submitted.
Case A: Photos and Recaps Submitted Before Checkout
- Before the scheduled start time: No action icons will be displayed.

- When the scheduled start time is reached: The Check-in icon will appear, allowing Talent to check in.

- After check-in: The Break Start, Checkout, and Upload icons will appear.

- After tapping Break Start: The Break End and Upload icons will appear. The Break Start and Checkout icons will be replaced by Break End, while Upload remains available.

- After tapping Break End: The Break Start, Checkout, and Upload icons will appear again.

- After submitting all required photos and Recaps: Talent can tap Checkout to complete the shift.

- After tapping Checkout: The shift will be marked as completed, and a success screen will appear.

- After tapping Done: The success screen will close. The shift will display a Completed badge, and all action icons will disappear except Upload and Reports, which remain available to access submitted items.

Talent can still view the completed shift’s summary from the Shifts listing screen.
Case B: Checkout Before Submitting Required Photos and Recaps
Talent may check out before submitting all required photos and Recaps. In this case, the checkout time is recorded, but the shift remains incomplete until the outstanding requirements are fulfilled.
- If Talent taps Checkout before submitting all required photos and Recaps: The checkout time will be recorded, but the shift will not be marked as completed. All action icons will disappear except Upload and Reports. A question mark icon will also appear to indicate that the shift is incomplete.

- When Talent taps the question mark icon: A popup will explain which required items are still missing. Talent can navigate directly to the relevant photo screen or Recap detail page from the popup.

- After submitting all required photos and Recaps: The shift will be marked as completed, and a success screen will appear.

- After tapping Done: The success screen will close. The shift will display a Completed badge, and all action icons will disappear except Upload and Reports, which remain available to access submitted items.

Photos and Recaps Images Syncing
On the portal, Tenant has to define the photo category in the Recap template with an image type question.

- If Talent submits Recaps first: If a Recap includes a photo question and the shift also requires a photo in the same category, the photo uploaded in the Recap will automatically appear in the Photos section under the corresponding category. This photo will count toward the shift’s photo requirement, so Talent won’t need to upload it again.

Note: If a photo is deleted from a submitted Recap later, it will remain in the shift’s Photos section.
- If Talent uploads photos first: When completing the Recaps, Talent can either upload a new photo or select one already uploaded for the shift photos by selecting option ‘Add from your photos’.

This feature saves Talent time and effort by avoiding duplicate uploads of the same photo.
