What is Merge Company?
The “Merge Company” feature allows you to combine two or more company records into a single entry.
- It merges all data from the selected records to help eliminate duplicates.
- If the selected records contain identical information, the system automatically merges them.
- In cases of conflicting values in any field, the system highlights the differences and allows the user to choose which information to retain.
How to Merge Company Records?
Step 1: Select the Company Records
Select the company records you want to merge by checking the boxes next to the company records on the list.
Step 2: Start the Merge
Select the merge option from the drop-down menu at the top left to merge the company records, as shown in the image below.
Step 3: Select the Primary Record
The selected records will be displayed. Select the primary/master record and click the “Merge” button.
The primary/master record is the record that will be kept, whereas other records will be deleted after the merge is complete.
Step 4: Confirm Merge
When you select “Merge,” a warning message will appear, notifying you that the records are about to be merged.
Select the “Yes, Proceed” button to continue or “Cancel” if you want to reconsider.
Step 5: Resolve Conflict
Next, the Conflict Resolution screen will appear, displaying the master and secondary records.
This screen shows all records selected for merging with different values.
For each field, select which values to keep from the records. The selected values will be used as the final data for the primary record.
- Identical values: The system automatically merges these fields (they won’t be displayed).
- Different values: You must select which value to keep in the primary record.
Step 6: Finalize Merge
Review your selections and click “I understand, merge now” to complete the process.
What is the Difference Between the Master Copy and the Secondary Copy?
- On the left side of the page, the Master copy contains the records selected by the user.
- On the right side of the page, all the selected company records and their data are displayed for reference.
How Does the Merge Interface Handle Field Types When Combining Company Records?
There are three types of fields in the merge process:
1. Multi-Select:
In the multi-select field, the user can choose multiple options to display. Checkboxes are provided with the corresponding fields, allowing the user to select multiple values.
The fields displayed in multi-select fall under the category of tags.
Tags
Every company may have multiple tags. All tags can be included once when selecting tags from different companies. Duplicates are not allowed.
If the same tag appears in multiple companies, it will be counted only once.
2. Select Only One/Unique:
In the select only one/unique field, the user can select only one value from the available options.
The following fields fall under the select only one/unique category:
- Company Name
- Address
- Address (Line 2)
- City/state/country
- Zip/Postal code
- Website
- Office phone
- Fax number
- Sales rep
- Account Manager
- Region
- Time Zone
- Status
- Company Type
- Industry
For these unique values, only one value can be selected from all the companies.
Note: If the data in the respective fields is the same, it will be merged automatically. However, if the data is different, all data will be displayed during the merging process, and the user will be allowed to select only one value across all records.3. Multiple Allowed:
In the multiple allowed field, all data is merged automatically without asking the user. The following fields are included in this category:
- Notes
- Contacts
- Projects
- Programs
- Opportunities
- Estimates
- Orders
- Jobs
- Invoices
- Rate card templates
- Agreements
- Attachments
