Finance System settings
Summary
In system settings under the finance module, administrators can configure integrations with various financial systems such as Kit Global, Paychex, QuickBooks Online, and PayRock. This allows for seamless connection by entering specific IDs and codes. Additionally, users can customize dropdown fields, set default values, and edit order preferences for various records like estimates and invoices. Default memos for estimates and invoices, along with terms and approval workflows for these records, can be set up to streamline processes. Stages for finance records can be customized with colors and defaults, aiding in organization and calendar view, while widgets allow departments to define their financial dashboard access and date ranges.

Going to talk about some of the stages in setting up your system settings for finance. So you’ll go into the icon on the right and click on system settings, and then you’ll click on finance and you’ll come to this list. Now, APIs, that’s any of the integrations that you may have with us, and this list will always be growing, and it depends on what kind of systems you’re using for finance outside of Senegal, whether it’s Kit Global, which is our payment partner, Paychex, which is payroll, QuickBooks Online Zero. Both of those are for accounting pays, escapee, PayRock. Those are for merchant services for your clients to pay their invoices through Senegal. And with each of these, you’ll have a separate agreement with that company, and that company will give you IDs and codes that you’ll come in and put in here so that you can connect your system, that system to our system.

There are dropdowns throughout the platform. There are dropdown fields in the different records, and you can define what that information looks like. So you’ll come in, you can add or edit any of that information. You can set a default, change the order of what that dropdown will look like, and just be sure to save when you’re done on estimates, you can put an estimate memo. Maybe this estimate is good for 30 days. Our terms are X, Y, and Z. You can put that information and so it shows up on every estimate that goes out. The general is where you define the approver if you’re going to be having it set up where estimates, invoices and proposals need to be approved by somebody before they go out. If they don’t, you can leave these blank and those features won’t be available so that someone can create any of these records and directly send them to a client.

With invoices, just like on an estimate, you have the invoice memo. Maybe our terms are 30 days, you can pay by credit card, whatever it might be. You can set that information up and set this here. So it applies to every invoice that you create stages. This is where you can set the stages for all the different types of records in finance. Again, you can add each of the stages, you can add colours to those stages to find a default and change the order of them. These colours become very valuable when you’re looking at these records on our calendar. And then widgets, each of the different types of sections within a finance have widgets, and you can come in and define the range of that widget. And then the departments, meaning the people in those departments who have access to use this widget on their dashboard.
