Merge Talent
The Merge Talent feature allows agencies to combine duplicate or overlapping talent records into a single, consolidated profile. This ensures data consistency and reduces clutter across the platform.
Key Highlights:
All information from selected records is reviewed and merged into one record.
Identical fields are merged automatically while in case of conflicting data, users are prompted to select which value to retain.
The final merged record keeps the selected “primary” talent record and removes the rest.
How to Merge Talent Profiles:
Step 1: Select Talent Records
Use the checkboxes in the talent list to select the records you wish to merge as shown in the below screenshot. The user can select 2 or more talent records to merge
Step 2: Choose “Merge” from the Dropdown
From the action dropdown, select Merge to initiate the process of merging on the selected records.
Step 3: Select the Primary Record
A screen will appear showing all selected records. Choose one as the primary/master record—this will be retained after the merge. The others will be deleted from the system.
Step 4: Confirm Merge
A warning message, as shown in the below screenshot, will notify you that the selected records are about to be merged. Click “Yes, Proceed” to continue the processing.
Step 5: Resolve Conflicts
If any fields have differing values across the records:
For differing values, you must choose which data to keep for each field.
You will see a conflict resolution screen. The conflict resolution screen will show master record and secondary records.
Fields with identical values are merged automatically and not shown here.
As you keep changing the selections, the field values in the master record will keep getting updated to indicate these value will stay in the master record after the merging.
Step 6: Finalize the Merge
The final step is clicking “Merge” button after which the user will see a warning about merge an irreversible action. The user needs to confirm by selecting “I understand. Merge now.”
The records will be merged, and the new talent profile will reflect your selected values.

Understanding Field Types During Merge
There are three types of fields in the merge process:
Multi-Select:
These fields accept multiple values. All unique values from selected records will be combined (duplicates will be removed).
These fields fall under this category:
- Tags
- Work Cities
- Skills
- Languages
Few important points about merging of multi-select fields:
- For multi-select, multiple values can be chosen from different talents but there should be no repetition. For example, if one talent has “California” as their city and another talent also has “California,” when merging, it should be counted as a single city: “California”.
- Similarly for tags, each talent may have multiple tags. When selecting tags from different talents, all tags can be included but there should be no duplication.
- If the same tag appears in multiple talents, it will be counted only once.
Select Only One/Unique:
Only one value can be selected for these fields. If the value is the same across all records, it’s merged automatically. If different, you must choose one.
Examples:
- First
- Last Name
- Date of Birth
- Phone Numbers
- Address (Line 1, Line 2, City, State, Country, Zip)
- Time Zone, Work Radius
- Status, Payroll ID
- Gender, Ethnicity, Nationality
- Talent Type
- Resume, Biography, Tax Forms
- Unsubscribed Status
- Custom Fields
- Professional Stats
Important points about merging of these field type:
- For these types of unique values, only one value can be selected from all the talents. If the data in the respective fields is the same, it will be merged automatically.
- However, if the data is different, all data will be displayed during the merging process, and the user will be allowed to select only one value across all records.
Primary Photo:
Only one primary photo is allowed per talent. If multiple records have primary photos, you’ll be prompted to select one. You can find more about how photo merging works during the conflict resolution here.
Multiple Allowed:
These fields are merged automatically without requiring user input. All entries from each selected talent record are combined into the final profile.

Special Cases
Shifts:
While most shifts are merged automatically, if the same shift exists across multiple records with different statuses (e.g., “Committed” vs. “Invited”), this creates a conflict and blocks the merge.

Agreements:
All agreements from all talent records are merged automatically, with no user input required—even if the same agreement appears multiple times.
